Booking a BSL interpreter for events

Plan accessible conferences, exhibitions, festivals, ceremonies and public events with clear timings, preparation, stage access and recording arrangements.

Event details to include in your enquiry

Programme, timings and locations

Give the event date, venue and postcode, plus the exact times interpreters are needed—not only the public opening hours.

  • Share the running order, session titles, speakers and breakout rooms.
  • Explain whether interpreting is on stage, at stands, while roaming, online or across several spaces.
  • Name an organiser who can answer questions before the event and an on-the-day contact.

One interpreter or an interpreting team?

Long, intensive or continuous assignments may require interpreters to work as a team and alternate. The programme, complexity, breaks, stage work, recording and livestreaming all matter, so send the full schedule and ask cSeeker to recommend the suitable number.

Stage position, lighting and sightlines

Deaf attendees need a clear view of both the interpreter and the event content. Plan the interpreter position, lighting, reserved seating, screen placement and movement between stages before the doors open. Include parking, passes, security, backstage access and a suitable preparation or rest space.

Hybrid events, cameras and livestreams

Tell cSeeker if the interpreter will be photographed, recorded or livestreamed. For hybrid events, agree the platform, camera framing, interpreter feed, technical rehearsal and how remote viewers will pin or see the interpreter. Recording and promotional reuse must not be assumed.

Preparation materials

Send the running order, scripts, slides, speaker names, specialist vocabulary, pronunciation guidance and venue map as early as possible. Last-minute changes should go to the interpreter team and the event contact together.
